Indian travellers planning trips to Japan this year will need to factor in a key procedural change. Beginning March 2, 2026, walk-in submissions for Japan visas will no longer be accepted at select Visa Application Centres (VACs) in South India, with an online appointment system becoming mandatory.

The move affects applicants applying through VFS Global centres in Chennai, Kochi, Hyderabad, Puducherry and Bengaluru, and applies across all visa categories — including tourist, business, student and dependent visas.

Japan visa update: No more walk-ins in key South Indian cities

Under the revised system, applicants must secure an online appointment before visiting the Visa Application Centre. Appointment dates become visible only after entering personal and travel details on the portal.

The change has been confirmed by Japan’s consulates in Chennai and Bengaluru and is aimed at managing increasing demand and reducing long queues during peak travel months.

Importantly, this rule currently applies only to the specified centres in South India. Walk-in applications continue at other Japan visa centres across India, as per existing procedures.

Why Japan is tightening appointment controls

Japan has recorded steady growth in arrivals from India over the past few years, fuelled by relaxed multiple-entry visa norms for select categories, expanded aviation capacity and a broader surge in outbound travel from Indian metros.

Data from the Japan National Tourism Organization (JNTO) indicates that Indian visitor numbers have consistently risen, aided by stronger air connectivity to major gateways such as Tokyo and Osaka.

Direct flight options have expanded with airlines including Air India, Japan Airlines and All Nippon Airways operating India–Japan routes. In addition, one-stop connections via Southeast Asia and the Middle East continue to supplement capacity during peak travel periods.

Visa demand typically spikes during Japan’s high tourism seasons — the cherry blossom months of March and April, summer festival season between June and August, autumn foliage in October and November, and the winter ski period in Hokkaido from December to February.

Officials say the transition to an appointment-based submission model is intended to manage this seasonal surge more efficiently, regulate daily application volumes, reduce overcrowding and strengthen security processes at high-footfall visa centres, particularly in South India.

What travellers need to know

For applicants in Chennai, Kochi, Hyderabad, Puducherry and Bengaluru:

  • Online appointment booking is compulsory.
  • Each applicant, including family members, requires an individual slot.
  • An appointment confirmation email must be carried to the centre.
  • Late arrivals may need to reschedule.

The core visa process remains unchanged. Applicants must:

  • Identify the correct visa category.
  • Complete the official visa application form.
  • Arrange supporting documents (passport, photographs, itinerary, financial proof, hotel bookings or invitation letters, as applicable).
  • Pay the visa fee at the centre.
  • Submit biometrics (if required).
  • Track the application status online.
  • Collect the passport or opt for courier return.

Incomplete documentation continues to be one of the most common reasons for delays.

Advisory for urgent travel

Applicants seeking urgent visas on humanitarian grounds — such as medical emergencies or bereavement — at the Delhi VFS centre must first initiate contact via email for priority assessment.

Travellers are advised to avoid last-minute submissions, particularly during peak tourism cycles when appointment slots can fill up quickly.

Planning your Japan trip: Timing is critical

Given Japan’s strong seasonal tourism calendar, travel experts recommend:

  • Applying 6–8 weeks before peak travel months.
  • Applying even earlier for March–April cherry blossom trips.
  • Allowing at least four weeks during non-peak periods.

Visa delays during high-demand seasons could disrupt prepaid flights, accommodation bookings and curated multi-city itineraries covering Tokyo, Kyoto, Osaka, Hiroshima, Hakone or Mount Fuji.

Growing India–Japan travel ties

India and Japan have strengthened cooperation across tourism, business and education in recent years. As Japan positions itself as a high-value global destination and India’s outbound travel market expands on the back of rising disposable incomes and growing passport penetration, bilateral travel flows are expected to remain robust.

Indian travellers are especially drawn to the heritage districts of Kyoto, known for their temples, shrines and traditional architecture. The fast-paced technology and shopping hubs of Tokyo also continue to attract urban explorers, while pop-culture enthusiasts flock to districts such as Akihabara for anime and gaming experiences.

Seasonal tourism remains a major pull factor, with snow resorts in Hokkaido drawing winter sports lovers. Theme park tourism is another key driver, particularly at Universal Studios Japan in Osaka, which remains popular among families and young travellers.

Although the newly introduced appointment-only visa submission model adds an additional procedural step for applicants in parts of South India, it is expected to streamline operations and reduce long waiting times at high-demand centres.

For travellers in Chennai, Hyderabad, Kochi, Puducherry and Bengaluru, spontaneous walk-in submissions are no longer an option — making early online appointment booking an essential part of planning a Japan trip.
