Switching from Microsoft Office to Zoho’s Writer, Sheet and Show: What works, what doesn’t and what the experience is like

I decided to move my daily work completely to Zoho’s Writer, Sheet, and Show on a trial basis. The transition wasn’t just about curiosity; it was about seeing whether India’s own productivity suite could actually replace the world’s most entrenched one.

Ever since I started working as a journalist, the Microsoft Office suite – Word, Excel and PowerPoint – is my go-to tool so much so that they are my comfort zone now. And why not? After all, it is Microsoft that pioneered the idea of having a word processor, or the entire office suite.

As a tech journalist, Word, Excel, and PowerPoint sat at the centre of everything—drafting, data analysis, and visual storytelling. But somewhere along the way, software that once defined productivity began to feel too rigid, too subscription-heavy, and oddly disconnected from the cloud-native world. That’s what made me test the waters with Zoho Office Suite, a homegrown alternative that’s quietly gaining traction, both in India’s startup ecosystem.

The timing felt right. With increasing emphasis on data localisation, cost efficiency, and digital sovereignty, Zoho’s momentum in India has grown beyond its SMB roots. Government departments are adopting Zoho Mail and WorkDrive under secure deployments, and the suite’s user base is expanding.

So, I decided to move my daily work completely to Zoho’s Writer, Sheet, and Show on a trial basis. The transition wasn’t just about curiosity; it was about seeing whether India’s own productivity suite could actually replace the world’s most entrenched one.

What I liked about Zoho’s Writer, Sheet, and Show

Let’s skip to the good part first. The biggest shift was psychological — no more local saves, version chaos, or email attachments. Writer, Sheet, and Show are entirely cloud-native, and every change is instantly visible to collaborators. Edits, comments, and mentions happen in real time. Whether I was drafting an article or refining a comparison table, my editor could step in, highlight sections, and leave notes seamlessly. Zoho WorkDrive binds this ecosystem together, acting like Google Drive but with enterprise-level security and deeper control.

Compatibility is on point

Zoho’s compatibility with Microsoft Office formats is impressive. Documents, spreadsheets, and presentations created in Word, Excel, or PowerPoint open smoothly in Writer, Sheet, and Show with minimal formatting issues. Even complex layouts, fonts, and tables translate well, making cross-platform collaboration seamless and reliable for professionals switching between ecosystems. Now, that really made my switch faster and seamless.

AI-assisted productivity with Zia

Microsoft has Copilot integration that takes charge of you and gets the job done really quickly. The integration is on point when it comes to the Office suite. From Ideation to final output, the Copilot takes care of almost everything. It even brings up context from Calendar, Mail and other synced locations. Zoho too has Zia – a Copilot alternative. And, it isn’t just a grammar checker—it’s a context-aware helper. In Writer, it identifies passive voice, checks tone, and suggests readability improvements. In Sheet, it can generate quick pivot tables, visualise patterns, and answer voice queries like “show me total sales by quarter.” For data-driven journalism, that kind of speed saves hours otherwise spent wrangling formulas.

Now, let’s talk about one product at a time:

Writer: Minimal, modern, and focused

Zoho Writer surprised me with its balance of simplicity and capability. It’s far less cluttered than Word and feels designed for distraction-free writing. There’s no ribbon overload—just tools that appear when you need them. Real-time co-authoring and a strong version history system make tracking changes easy. Most importantly, compatibility wasn’t an issue; importing and exporting .docx, PDF, and even Markdown files worked without major formatting mishaps.

Sheet: Smart and surprisingly powerful

Zoho Sheet may not be Excel’s clone, but it doesn’t need to be. It’s collaborative-first, and every cell supports comments, locks, and tracked edits. The integrated AI makes cleaning datasets easier—detecting outliers, highlighting duplicates, and suggesting chart types automatically. For hardware reviews where I often compare specifications or pricing changes, Sheet felt agile and cloud-responsive, with fewer crashes and no “file corrupted” nightmares.

Show: A lighter, cleaner PowerPoint alternative

Zoho Show feels built for fast-paced teams that value collaboration over presentation theatrics. It supports templates, design themes, and animations, though not the same complexity as PowerPoint’s custom triggers. But for decks that need to be shared, discussed, and updated in real time, Show performs well. I could import .pptx files without visual disasters and present them directly through the browser.

Things that could have been betterPower features for advanced users

Microsoft’s decades-long refinement still shows its depth. Word’s advanced styles, Excel’s VBA macros, and PowerPoint’s event-driven animations remain unmatched. Zoho covers almost everything I need for daily work, but if you build complex models or automation-heavy reports, Excel still reigns supreme.

Plugin ecosystem and community

Microsoft’s third-party add-in market is massive. From editorial tools to project trackers, the ecosystem fills every niche imaginable. Zoho has extensions but not the same variety. Power users who rely on specific plugins may feel that gap immediately.File compatibility quirks

While Zoho handles .docx and .pptx well, subtle font mismatches or layout shifts can still appear, especially with custom templates. These aren’t dealbreakers, but they do require a careful proofing pass before final delivery.

Animation and design depth in Show

For presenters who live and breathe advanced transitions, motion paths, or custom triggers, PowerPoint still leads. Zoho Show’s minimalist approach suits most users but may feel restrictive in creative-heavy workflows.

Will I stick to Zoho’s office suite?

Switching entirely to Zoho wasn’t just an experiment—it became an eye-opener about how far productivity software has evolved. Zoho Writer, Sheet, and Show collectively prove that powerful, secure, and cloud-native tools can emerge from India and compete globally.

For a majority of users—journalists, educators, small teams, freelancers—Zoho delivers everything that matters: collaboration, AI assistance, seamless access, and affordability. For power users who demand deep macros, advanced design tools, or specialised plugins, Microsoft Office still has the edge – but it is also several decades old software that has been evolving over the years. Zoho’s journey has just started, and at a relatively early stage, the Writer, Sheet and Show deliver a refined and feature-rich experience.

Coming back to the question: Yes, for most of my daily work, I’ll stick with Zoho’s office suite. It delivers strong collaboration, reliable compatibility, and AI-assisted efficiency. Unless I need advanced PowerPoint animations or Excel macros, Zoho covers everything my workflow demands—securely, affordably, and without compromises.
