SPARSH defence pension: How to download your PPO number in minutes

A simple walk-through for pensioners who need their PPO for life certificate, bank queries or grievance filing, without chasing old paper files

Finding your PPO number is one of those small tasks that becomes urgent at the worst possible time. A bank asks for it, a correction is pending, a life certificate is due, or you simply need to quote it for a query. Under SPARSH, the good part is that the PPO sits inside your login, ready to be viewed and downloaded, instead of being trapped in a physical file.

Pensioners can view and download their PPO from the SPARSH portal through the My Documents section. The SPARSH portal itself positions My Documents as the place where pensioners can access their documents at one place. Key items such as PPO, corrigendum PPO, pension slips and entitlements are available in My Documents after login.

What you should keep ready before you start

Keep the mobile phone that is registered with SPARSH close by, because OTP-based verification may be required at login or during password reset. Use a personal device and a stable internet connection, especially if you are helping an elderly family member.

If you already have your SPARSH user ID and password, the steps are straightforward. If you do not, the quickest path is usually to recover access first, then download the PPO from within the account.

Log in first, because the PPO is inside the dashboard

Open your browser and go to the official SPARSH portal. The portal is hosted at sparsh.defencepension.gov.in. Use the pensioner login option and enter your credentials, along with the captcha.

If you have forgotten your password, use the forgot password option and complete the OTP step on your registered mobile number. The portal has a profile and service design that relies heavily on the registered mobile or email for account actions, so password recovery is usually faster than trying to obtain documents through informal channels.

Go to My Documents, where SPARSH stores pension records

Once you are inside the pensioner dashboard, look for My Documents. This is the section SPARSH uses as a digital repository for pension-related documents. The SPARSH services page highlights My Documents as the place to access documents in one place, and Business Standard’s how-to summary also points users to My Documents for PPO downloads.

If you do not see it immediately, it is worth scanning the main dashboard menu rather than searching randomly across profile screens. The labels can vary slightly by layout updates, but the function remains the same.

Open PPO and download the PDF

Inside My Documents, select PPO. In many accounts, SPARSH also lists related items such as corrigendum PPO, pension slips and entitlements in the same area. A CGDA-related FAQ document explicitly confirms that PPO and other pension documents are available within My Documents.

Open the PPO entry and use the download option to save it as a PDF. If you are doing this on a phone, save it to a folder you can locate later, and consider sending a copy to your own email for backup.

A small detail that prevents future hassle is to note the PPO number separately, not just store the PDF. Many pension tasks ask for the number, not the full document, so keeping it written down in a safe place helps.

If you cannot find PPO, check whether you are looking at pension slip instead

This is a common point of confusion. Some guides mention Pension Slip alongside PPO because both appear under My Documents. An Economic Times guide outlines My Documents as the route to access PPO and also separately to access pension slips and entitlements. If you end up opening Pension Slip, you are in the right neighbourhood, but you need to switch back and select PPO.

What to do if PPO is missing or details look incorrect

If PPO does not appear in My Documents, or if the details do not match what you expect, do not rely on repeated attempts or informal advice. Use the grievance or help options within SPARSH, because the portal is built as a single-window service for pension-related requests.

Most delays happen when pensioners raise the wrong type of request or do not describe the issue clearly. Keep your message simple: PPO not visible in My Documents, or PPO details mismatch, and include the key identifier information requested by the form.

A quick safety reminder before you hand over your phone

Avoid anyone offering to “download your PPO for you” in exchange for your SPARSH password or OTP. OTPs are effectively your signature for account access. If a family member is helping, it is safer for the pensioner to read out the OTP themselves and for the helper to do only the navigation.
