Microsoft is making file sharing on Word, Excel easier for Android users

Microsoft said this update is designed to streamline mobile collaboration by allowing recipients to instantly open and view documents, spreadsheets, or presentations, regardless of whether they have a Microsoft account

Microsoft is making it easier for Android users to view shared files on the go. After introducing anonymous file sharing on iPhone and iPad back in March, the feature is now available for Android devices. Users can open Word, Excel, and PowerPoint files shared via a personal Microsoft account—without needing to sign in.

In a blog post, the company said this update is designed to streamline mobile collaboration by allowing recipients to instantly open and view documents, spreadsheets, or presentations, regardless of whether they have a Microsoft account. However, editing or commenting still requires a sign-in.

How does it work?

Sharing is simple: users signed into their personal Microsoft account can select the “Anyone with the link can view/edit” option when sharing. The recipient can then open the shared link on an Android device using Microsoft Office apps, starting with version 16.0.18827.20066. Here are the steps:

  • Make sure you are signed into your personal Microsoft account.
  • Open a Word, Excel, or PowerPoint file that you want to share.
  • Select Share > Link settings (the gear icon in the top-right corner), ensure that either the Anyone with the link can edit or Anyone with the link can view option is selected, and then select the Apply button.
  • To share the link with others, type their email address in the Share dialog box, and then click the Send button, or click the Copy link button and paste it in a message created using an app such as Microsoft Outlook or Microsoft Teams.

It’s worth noting that this feature only applies to personal accounts—files shared through enterprise accounts will still prompt recipients to log in.

This enhancement offers more flexibility for users who frequently share files with collaborators outside their organisation, friends, or family,  in scenarios where quick access is preferred over full editing rights.
