Google announces Workspace Studio to help users create custom AI-powered agents

Google has officially launched Workspace Studio, a new automation tool designed to help users build custom AI-powered agents. The platform, backed by Gemini 3, allows individuals and teams to automate tasks across Google Workspace apps without writing code. First previewed at I/O 2024 and later announced in April, the tool is now available to a wider set of Workspace customers.

How Workspace Studio works

Workspace Studio follows an “if this, then that” automation model but expands it with Gemini’s reasoning and multimodal understanding. Users can design agents in minutes through plain-language prompts. These agents can process emails, analyse content, extract information, prioritise tasks, and send notifications.

Google has added a shortcut inside every major Workspace app, located next to the Gemini icon, to help users access their agents quickly. The interface includes Discover, My agents and Activity tabs, while a standalone dashboard is available at studio.workspace.google.com.

Features

Agents built through Workspace Studio can perform actions using three key components: Starters, Steps and Variables. Starters define what triggers the automation, whether it is a scheduled time or a new email from specific contacts. Steps allow users to specify what the agent should do, such as drafting replies, organising information or updating documents. Variables act as placeholders that let agents use extracted data—including names, dates, invoice numbers or Gemini-generated responses—throughout the workflow.

Google says the system goes beyond rule-based automation by letting agents interpret content, detect sentiment and adapt to new information. Users can also share their custom agents just like files on Drive.

Availability

Workspace Studio is rolling out over the coming weeks. It will be available for Business Starter, Standard and Plus; Enterprise Starter, Standard and Plus; Education Fundamentals, Standard and Plus; Google AI Pro for Education; and Google AI Ultra for Business tiers.

The launch marks Google’s latest effort to bring generative AI deeper into Workspace, promising faster and more flexible task automation for users.
