A wrong PF member ID linked to your UAN can create all kinds of confusion. Your service history looks off, your passbook shows an employer you never worked for, and future transfers or withdrawals can get stuck. The good news is that such errors can be corrected. The not-so-good news is that you cannot do it with a single click on the EPFO portal. It needs a mix of documentation, employer support and follow-up with the PF office.
Most such problems start with a data entry or mapping mistake on the employer’s side. Someone in HR or payroll might have tagged a colleague’s PF number to your UAN, opened an extra member ID by mistake, or used the wrong establishment code. You usually first notice this when you log into the Member e-Sewa portal, check service history and find an unfamiliar PF account or an employer you do not recognise. At that point, it helps to pause and collect your evidence rather than firing off half-explained emails.
Document the error before you approach anyone
Begin by recording exactly what you see. Make a note of your UAN, all the member IDs that appear against it and which one is clearly wrong. Take screenshots of your service history page and the passbook view showing the incorrect account. Keep your appointment letter or salary slip from the real employer handy, especially if it mentions the correct PF number. Having this bundle ready makes the next conversations smoother, because everyone can see the mismatch in black and white.
Get the employer whose ID is wrong to confirm the mistake
The first serious conversation should be with the employer whose member ID is wrongly showing under your UAN. Write to their HR or payroll team and explain, in plain language, that an incorrect PF member ID has been tagged to your UAN and is showing up in your EPFO records. Attach the screenshots and politely ask them to check the employer EPFO portal at their end. If they confirm that the account was opened or tagged in error, request them to send a written clarification to the concerned regional EPFO office asking for rectification or delinking. EPFO relies heavily on what the establishment confirms, so this step matters more than most people realise.
Raise an EPFO grievance with all the details
In parallel, it is sensible to raise an online grievance with EPFO through the EPFiGMS portal. In your complaint, mention your UAN, your correct member ID, the wrong member ID and the employer name linked to it. Briefly explain that you have already informed the employer and are seeking correction of an incorrect mapping, not a transfer or withdrawal. Upload the screenshots and, if possible, your email trail with HR. This creates a formal record and usually prompts the local office to reach out to the establishment, join the dots and push the case towards a technical correction in the back end.
If needed, visit the PF office and follow up
If you receive a generic or unhelpful reply, or nothing seems to move after a reasonable time, a visit to the regional PF office that handles the employer’s code can make a difference. Carry your ID documents, your UAN details, copies of your grievance, and any written response from the employer. When you meet the PRO or dealing clerk, keep the ask very clear: you are requesting rectification of a wrong member ID linked to your UAN, not closure or transfer of a genuine account. Once the system is updated, the stray member ID stops showing up in your service history and passbook, although this can take some weeks.
How to avoid UAN-PF mismatches in future
The best way to avoid a repeat is to be proactive each time you change jobs. Share your existing UAN with the new employer, log into the EPFO portal a month or two after joining and check that only one member ID has been created for that establishment and that the details look right. Keep your KYC in order so employers have less scope to create duplicate identities for you in the system. In the end, cleaning up a wrong member ID is less about any legal drama and more about clear communication. Once you, your employer and EPFO are all looking at the same error, the system does allow your UAN to be tidied up so that it accurately reflects your real PF journey.
